In the housing company we collect personal data for a number of different purposes. A register over tenants and applicants exist in order to make our daily work possible. According to the Housing Companies Act, the housing company is obliged to collect data on all alterations made, which establishes a register for alteration work. The following personal data is stored:

Key register: The tenants name and home address.

Electronic key, Abloy: The use of the keys creates a log without any personal data.

Tenancy register: The tenant’s name, date of birth or Finnish ID-number, in case it’s important to unambiguously identify the registered tenant in order to provide for its rights or obligations (e.g. collection), home address, e-mail address and phone number, and other necessary personal data.

Applicant register: The tenant’s name, date of birth or Finnish ID-number, in case it’s important to unambiguously identify the registered tenant in order to provide for its rights or obligations (e.g. collection), home address, e-mail address and phone number, and other necessary personal data.

Register for alteration work: The tenants name, home address, e-mail address and phone number, and also corresponding contact information to a possible second contact person. Also, name, e-mail address and phone number to the worker in question (entrepreneur, planner etc.)

The collected data is given to us by the tenant or the applicant him-/her-self, and the data can be updated by authorities or other service providers, to ensure the data is up-to-date.

The data in the tenancy register is stored as long as the person in question is a tenant of the housing company. When the tenant has moved out, the personal data can still be stored and used as long as it’s needed for reasons such as invoicing, collection or other judicial purposes. The data in the register for alteration work is stored as long as it is stated in the Housing Companies Act. Data from the electronic key (Abloy) is stored for the period of the tenant’s residency.

Auditors have access to the personal data in order to fulfill their duties, as well as possible collection agencies in order to carry out collections. Personal data can also be handed to authorities in accordance with current legislation.

Data from the electronic key (Abloy) can only be audited by investigative authorities.

All managing of personal data is done with the outmost respect for the registered person’s integrity, and the collected data is kept confidential.

Our housing company ensures that the personal data entrusted with the company is protected in a careful way and also demands this from our subcontractors who also might handle personal data. Personal data that is managed by the housing company can practically also be on external service providers servers or units in order for us to ensure an adequate level of data protection. Paper documents are stored in a locked and fire safe space.
